We are seeking a diligent, organized, & proactive Operations Manager to oversee & coordinate our transit operations. This role is critical in managing driver schedules, optimizing routes, ensuring compliance with Medicaid billing, & maintaining high levels of service efficiency. The ideal candidate will be a strategic thinker with strong leadership skills & a proven track record in managing profit loss & driving business growth.

 

Key Duties:

Driver Coordination & Scheduling

-Collaborate daily with drivers to assist in routing & scheduling for the following day

-Oversee the scheduling of vans to ensure efficient route planning & execution, optimizing routes to reduce travel time & fuel consumption

-Maintain accurate records of drivers' hours to ensure compliance with regulatory requirements & internal policies 

Collaboration & Communication

-Work closely with Senior Administrative Specialists to ensure accurate entry of reservations, appointments, & other critical information into the transportation management system

-Coordinate with trainers to resolve scheduling conflicts & issues, ensuring seamless operations

Billing & Compliance

-Assist with Medicaid broker billing by accurately uploading billing information into brokers' databases

-Evaluate & integrate broker trip requests into the route schedule before acceptance to ensure compatibility & efficiency

-Stay current on Medicaid billing & reimbursement procedures through continuous professional education.

Backup Support & Client Management

-Serve as a backup for dispatching duties, customer account management billing, & handling reservations for non-Medicaid clients when needed

-Maintain & update client spreadsheets, accurately recording passenger payment of fares & other relevant information

Scheduling Clerk Duties

-Schedule transportation for clients, ensuring efficient use of resources & maintaining a collaborative relationship with other transportation agencies

-Utilize strong problem-solving & conflict-resolution skills to handle client complaints effectively & ensure high levels of customer satisfaction

-Verify methods of payment for services, collect relevant data, & log payments appropriately to ensure accurate financial records

-Perform dispatching duties as needed, ensuring smooth coordination of transportation services & timely response to service requests

Requirements

-High School Diploma or Equivalent required

-Must be 21 years of age or older

-Possess a valid North Carolina Driver's License

-Experience in transportation, logistics, or a related field is preferred

-Strong proficiency in Microsoft Office Suite, especially Excel

-Excellent organizational & time management skills

-Ability to maintain confidentiality & exercise discretion

-Effective communication skills, both written & verbal

-Familiarity with social media management & marketing strategies is a plus

-Grant writing experience is advantageous, but not required
